Departmental Student Worker Renewal Process

The Departmental Student Worker Renewal Process is done twice a year, in May and December.  To have the departmental student worker accounts re-instated without interruption, the supervisor will need to complete the renewal process before the accounts expire.

May (Renewal for Summer Only, Summer & Fall or Fall Only)

For each Departmental Student Worker you supervise, (that has a student worker email account), you will get a renewal request. The new process will send out the 1st email notice on May 1st. The email will ask you to click on a link to renew. The link will take you to Sharepoint (requires login) to Renew the account for the following:

  • Summer Only-Term A or B (please enter the expected termination date)
  • Summer & Fall (PA must be done to hire them for summer in your department)
  • Fall Only (please enter expected return date)
  • Do Not Renew (Account is pre-expired for May 15th)

Please choose one and click submit.

If you complete the renewal request, you will not get another notification. If you do not complete the renewal process, you will get a 2nd email notice on May 8th. The email will ask you to click on a link to renew. The link will take you to Sharepoint (requires login) to Renew the account for the following:

If you choose to renew the account, Accounts Management will update the expiration date on the departmental student worker account until Dec 15th.  You will be emailed a renewal notification.  If you choose not to renew the departmental student worker account, the account will remain active until May 15th. A notification will be sent out when the departmental student worker account expires.

  • All Department Student Worker Accounts are pre-expired for May 15th.
  • If the student is not working next semester, but is working Term A or Term B, please select Summer only and input the day the student is expected to terminate.
  • For any departmental student worker account that is NOT being renewed, please let these students know that they will have no access to the account after May 15th.  They need to get all necessary information from the departmental student worker account before May 15th.  If they have Google Docs that they need to share, please share before May 15th.  Any Google Docs left in the account will be deleted at the end of May.
  • If you do not get a renewal notice for one of your students, please send an email to accounts@georgiasouthern.edu.
  • The Supervisor listed in the on-line form will be the only person who can renew/not renew the student worker account (the departmental secretary cannot do the renewal for others)
  • The Supervisor will only be able to renew for the current renewal period.
  • If a Student Worker (that has a student worker account) terminates before the next renewal period, please notify accounts@georgiasouthern.edu.
  • If you approve/deny a request by mistake and need to change the response, please send an email to accounts@georgiasouthern.edu.
  • If you do not renew a departmental student worker account before the expiration, you will need to request a new account at http://its.georgiasouthern.edu/accounts/departmental-student-accounts
  • If you need to request an account for a new student please fill out the on-line form: http://its.georgiasouthern.edu/accounts/departmental-student-accounts
  • If the Departmental Student Workers supervisor has changed, please send an email to accounts@georgiasouthern.edu. We will update the supervisor manually.

 

December (Renewal for Spring)

For each Departmental Student Worker you supervise, (that has a student worker email account), you will get a renewal request.  The new process will send out the 1st email notice on December 1st.  The email will ask you to click on a link to renew.  The link will take you to Sharepoint (requires login) to Renew the account for Spring, or Do Not Renew.  Please choose one and click submit.

The email will ask you to click on a link to renew.  The link will take you to Sharepoint (requires login) to Renew the account for Spring, or Do Not Renew.  Please choose one and click submit.
